1. Introduction
Orienteering Wellington is seeking experienced orienteering mappers to produce one or both of two new orienteering maps for the Nationals 2026.
We invite mappers to submit detailed quotes or estimates for the specified mapping work, adhering strictly to the International Orienteering Federation (IOF) mapping standards.
2. Project Overview
The map areas are shown below. The maps must be produced to conform to the relevant current ISOM standards. We expect the maps to be produced from LIDAR-derived contours, georeferenced, and produced to exacting standards for the national championships. We expect the maps to be made available in OCAD format.
The new maps are Coonoor (long distance) and Rewanui (middle distance) and should be produced to appropriate scale for these events.
The produced maps are to be property of Orienteering Wellilngton and will be available for use by the Pokapu/Central Region clubs.
3. Quotes/Estimates
Our preference is to receive quotes for producing the maps, however we will also accept estimates.
These should include:
· For quotes: the predicted total mapping costs
· For estimates: a breakdown of estimated expenses by hours for mapping and cartography; travel and accommodation; other expenses; and optionally a contingency.
· As shown in sections 6 and 7, we are still resolving some permissions. Quotes/estimates should be for the areas we have current permissions only. Further discussions will be held with the mapper if we decide to gain access to the extended areas.
· An estimated time of delivery of an interim map (to assist planning) and a final map. Ideally, we would like a draft for planning by December or sooner.
· Your preferred approach and any costing structure for any updates to the map required for the 2026 Nationals – for example if the planner or controller identify a need for amendment.
Bids for the mapping contract from people who have not previously mapped either for Orienteering Wellington or for a major event in New Zealand should be accompanied by a copy of a recently produced map in OCAD or PDF format.
4. Contract and Payment Terms
· A formal agreement/contract will be drawn up with the selected mapper.
· Payment terms will be negotiated but typically involve an upfront payment, progress payments, and a final payment upon satisfactory completion of all deliverables.
